Branches, warehouses and stock transfers

Run several shops and warehouses from one account: stock per branch, transfers with delivery notes.

Multi-branch is part of plans that include Multi-branch & stock transfers (see Plans, payment and renewal). Only the owner or an admin can switch it on.

Switch it on

  1. Sign in to the back office on the website and open Branches & Tills.
  2. Type the name of the first branch (where today's stock is), for example "Windhoek Main Shop", and press Switch on multi-branch.
  3. All the stock you have today becomes that branch's stock. Nothing is lost or counted twice.

Add branches and warehouses

  1. In Branches & Tills → Add a branch or warehouse, enter the name, a short code (e.g. OSH) and the type: Shop (sells) or Warehouse (stores).
  2. Your plan decides how many branches you can have. The line Your plan shows how many you use and how many you may have.

Give each till computer its branch

  1. Add the tills: Add a till at the branch. Each till gets its own Till ID (TILL-01, TILL-02…).
  2. Install the desktop till on the computer and activate it with your licence key (see Licence keys and computers).
  3. Back in Branches & Tills, under Computer, choose that computer next to its till. The list shows each computer's Windows name.
  4. Within a minute the computer sells from that branch's stock, and its sales are booked to that branch with its Till ID.
A computer that has not been given a till yet sells from the head office's stock, and is shown as a warning on the page.

Staff home branch

Under Staff home branches, choose where each cashier, supervisor or manager works. They sell and receive only at that branch. All branches is for head office staff and owners.

Move stock between branches

  1. Open Stock Transfers → New transfer. Choose the branch it comes from and the branch it goes to.
  2. Add the products and quantities. The page shows how much the sending branch has; you cannot send more than it holds. Phones with IMEI numbers travel with their IMEIs.
  3. Approve, then Dispatch. The stock leaves the sending branch and is "in transit", on neither shelf.
  4. Print the delivery note for the driver.
  5. At the receiving branch, open the transfer and Receive: enter what arrived. Anything missing, damaged or sent back is recorded on the transfer.

Check the stock

Branch Stock shows every product at every branch, the value at cost, and a Balanced check: the company total always equals the sum of the branches. Use Export CSV to open it in Excel.

A branch can never sell stock it does not have, even when another branch has some. Move it with a transfer first.
