Use this when you move from another POS, or to update many prices at once. It works on the website (back office).
1. Export from your old system
- Any of these work: Excel (.xlsx), CSV, Text, HTML, Unicode Text and Unicode HTML (UTF-8).
- In older Windows back-office programs, open the stock report, choose Export and pick one of the "Save as type" choices.
- Keep the column headings in the export (Code, Barcode, Description, OH / Qty, Cost, Selling…).
- Old Excel (.xls) files: open them in Excel and Save As Excel Workbook (.xlsx) first.
2. Upload and check the columns
- Open Products → Import from another system and choose the file. Press Read the file.
- The page shows each column of your file with its first values, and what it will be imported as. Common names are recognised (OH = quantity on hand; TC = total cost, not imported). Change any that are wrong, or choose not imported.
- Report titles, page headings, dates and totals are left out automatically.
3. Choose what should happen
- Products & prices: adds new products and updates the prices of the ones you already have.
- Update prices only: changes cost and selling prices of products you already have. Nothing new is added; stock is not touched.
- Stock received: adds the quantities in the file to your stock (a delivery). The products must already exist.
Then choose how existing products are found (barcode, code or name) and, in a business with branches, which branch the stock is at.
Stock is only ever added, never overwritten. To correct stock, use a stock count.
4. Preview, import, undo
- Press Preview. Every row shows what will happen: "New", "Update" (with old and new prices) or why it is left out. Nothing is saved yet.
- Press Import. The same file cannot be imported twice by mistake.
- Made a mistake? Open the import again and press Undo this import: prices go back, the added stock is taken out, and new products that were never sold go to the Bin.
